The Data menu includes a number of menu options that allow you to perform a number of operations on the current database as well as selected records in the database.

Data | DB Operations

DB Operations | Purge

The DB Operations | Purge menu option deletes all of the records that you have marked for deletion in the Data Manager.

DB Operations | Clear

The DB Operations | Clear menu option destroys all existing data in your survey folder.

DB Operations | Repair Database

Databases are marked as valid when they are closed or when they are flushed, in which case they remain valid until updated. However, if the system goes down (for example, because of a power failure) then the database will be in an invalid state and you will get an error message next time you try to open it. In this case, by using Repair Database, it is sometimes possible to recover some data even if all your backups have disappeared.

When you run the Repair Database function you will be asked to confirm if this is really what you want to do. If you go ahead then your existing database will be renamed to PSReport.XDB.BAD, and its data exported the comma separated files: <parent name>.repair.CSV and <child name>.repair.CSV. Data from these files will then be re-imported. Any results, which may be partial, will be placed in PSReport.XDB.

DB Operations | Restore

The DB Operations | Restore menu option replaces the existing database with the previously saved backup. All existing survey data will be lost.

Data | Record Operations

Find / Replace

The Find / Replace menu option enables you to locate and update data within the current database. This function is useful for amending multiple instances of data within a large database.


Selecting the Duplicate menu option generates a user specified amount of duplicates of your data. This is particularly useful for database testing purposes.


The Delete menu option flags the selected record and all associated dependant records as deleted. Files marked for deletion are notable through a red 'x' flag. These records can be restored through the UnDelete menu option. Selecting DB Operations | Purge will delete these files from the database.


Clicking UnDelete restores all of the records marked for deletion.

Data | Display


The Form menu option toggles the Data Manager display mode from tabular view to form view. The Form window is also accessed through the Form button on the Menubar. The Form window appears on the right hand side of the Data Manager.

Hide Deletions

The Hide Deletions menu option allows you to hide and unhide all associated files marked for deletion.

Hide Record Flags

The Hide Record Flags menu option allows you to hide and unhide all record state icons. Record flags are the picture icons to the left of each record.

Data | Database Statistics

The Data | Database Statistics menu option launches a document detailing your Database Statistics including Basic Statistics, Data Chains and Indexes.
