Day 28: Data Manager

In the last lesson we asked you to create help files and implement them into your survey. If you have not done that, go back and do it now before continuing with this lesson.

This lesson will show you how to make full use of the DATA MANAGER including how it can be used to build and generate complex reports.


Data in the DATA MANAGER is implemented in a one-to-many relationship. ONE is known as parent data whereas MANY is known as child data. The parent data is displayed in the top window of the DATA MANAGER and child data in the lower half.

Now do the following.

    1. Open the survey you used on Day 25 of the tutorial entitled ‘Day 25’. Rename this survey to “Day 28” and SAVE.

    1. RUN the survey on the handheld and complete it through until you are prompted with the question ‘Choose another wine?’. Click ‘Yes’ to select another wine. Be sure to select a different range of answers for a more thorough and accurate analysis in later reporting. Choose a third wine from the list when prompted and then select ‘No’ from the ‘Choose another wine’ menu.

    1. Now using a different survey identifier fill in the survey again selecting 2 different types of wine. Repeat this process until you have entered at least 5 different survey identifiers in total and then click QUIT. RECEIVE this information back from the handheld and click DATA in the PocketSurvey toolbar to launch DATA MANAGER.

    1. The DATA MANAGER is similar to the DATA DOCTOR in a number of ways. Here you can edit, clone, and import data as also seen in the Data Doctor. Both software components are capable of building and generating unique reports however it is the REPORT BUILDER feature in the Data Manager that allows you to generate complex automatic reports based on your survey design. It is a much more powerful component than the Data Doctor’s STATS ANALYST hence it is exclusive to the higher editions of PocketSurvey. Click the BUILDER button in the DATA MANAGER toolbar to launch the REPORT BUILDER.

    1. The REPORT SCRIPT MENU to the left of the screen displays a list of all the reports that you have designed and gives you the option to create a new script by selecting NEW SCRIPT from the menu. Select NEW SCRIPT and then SAVE AS “Money Spent”. You can enter a TITLE and DESCRIPTION for your report at the top of the window if you wish.

    1. Make sure all fields within the REPORT BUILDER are de-selected so that we can build a report from scratch. Now in the WHAT TO DISPLAY menu select ‘Money spent on this type of wine per month’ from the MULTIPLE ITEMS column. Select the same question from the TOTALS menu to the right. Make sure the ‘By Record’ box is ticked in GROUPING section and then click the ‘MAIN SECTION’ box to the right of the WHAT TO SELECT section. If you study this current set up you may be able to understand what will be displayed in the report. Click SHOW REPORT.

    1. The HTM report will display each person’s preferred wines and the amount of money they spend on each wine (and in total) every month. Close the report and go back to the Report Builder. The best way to learn this component of PocketSurvey is to experiment. Try clicking different variables to see the different types of reports that can be generated. You can display as many or few variables and totals in each report as you desire, the possibilities are endless.

Final Tip

If you have changed your survey since importing data into the Data Manager you may want to import new data using your adapted survey design. The Data Manager will restrict you from doing this unless you first clear the database of any old data. Select DATA | DB OPERATIONS | CLEAR from the Data Manager toolbar.
